We’ve recently invested in an automated pallet inverter as part of our upgraded warehouse rework station. This new addition has unlocked new capabilities for us as a logistics provider, allowing us to support our clients with various packaging challenges they may not be able to solve in-house. It’s all part of our ongoing commitment to improving efficiency and further strengthening the value-added services we offer.

A pallet inverter is an electric machine designed to safely invert or rotate full pallet loads. Ours handles up to 2 tonnes with 180-degree rotation for precise realignment. In simple terms, it allows us to straighten wobbly or ‘shot’ pallets, making them compliant to pallet parameters, and then being transferred to the ‘stretch wrap’ machine for load and transportation security.

The inverter is complemented with two pallet wrap machines as part of our newly streamlined rework process. This setup enables us to quickly and consistently re-wrap, stabilise, and correct pallet loads. It also has the added benefit of reducing operator time and risk, saving hours of manual work each week while boosting throughput and accuracy.

We realised the opportunity to invest in this machinery and upgrade our warehouse rework station because many of our clients simply don’t have this type of equipment on-site. By bringing this capability in-house, we can support customer-specific requirements, such as retail compliance, and reduce waste and rejected loads. It’s a unique offering in the logistics market, and yet another example of how VLT Logistics continues to lead the way.

In short, our new pallet inverter adds to and enhances our service offerings, safety, and turnaround time. It’s perfect for customers who need extra support with load handling or rework, and we’re proud to see it already making a positive difference for our operations team and customers.

Maximising supply chain efficiency is what we’re all about. With this latest investment, we’re now even better equipped to deliver on that promise.

Businesses often rely on logistics providers not just for transportation and warehousing but also for a range of value-added services that help streamline supply chains, reduce costs, and improve customer satisfaction. Services like re-palletising, re-labelling, and re-wrapping all make a real difference in ensuring goods arrive in perfect condition and fully comply with retail and regulatory requirements.

Re-Palletising

Re-palletising is the process of rearranging products onto new pallets to better suit storage, transportation, or retailer requirements. This service is particularly useful for companies dealing with damaged or unstable pallet loads, shipments that need to be consolidated or split, or products that must meet specific retailer guidelines.

Benefits of re-palletising:

  • Improved Load Stability: Properly stacked pallets reduce the risk of damage and make handling easier.
  • Retailer Compliance: Many large retailers have strict pallet rules. Re-palletising ensures your products meet their standard, reducing delays and extra costs.
  • Space Optimisation: Well-organised pallets mean more can fit in storage or on a truck, cutting down the number of trips needed and speeding up deliveries.

Re-Labelling

Re-labelling is the process of updating, replacing, or adding labels to products or packaging to ensure compliance, correct errors, or enhance branding. Third-party logistics providers (3PLs) often offer this service to help make products retail-ready and ensure they meet specific market requirements.

Benefits of re-labelling:

  • Regulatory Compliance: Re-labelling ensures products meet local regulations, import/export rules, and retailer-specific labelling or tagging requirements.
  • Error correction: Fixing misprints, incorrect barcodes, and outdated information before products reach customers prevents mislabelling issues and costly recalls.
  • Brand consistency. Updating promotional labels and/or packaging keeps branding uniform across different markets and product lines.

Re-Wrapping

During transit, packaging can easily become torn, loose, or otherwise compromised, increasing the risk of the products themselves taking damage. Re-wrapping involves applying a new shrink wrap, stretch film, or protective covering to ensure goods remain secure, intact, and presentable.

Benefits of re-wrapping

  • Product Integrity: Re-wrapping protects products from dust, moisture, and other contaminants while also adding an extra layer of defence.
  • Retail Readiness: It ensures products arrive in pristine condition and allows you to customise packaging to meet specific retailer or customer requirements.

Improving Supply Chain Efficiency

Re-palletising, re-labelling, and re-wrapping help minimise the risk of goods being rejected and ensure your products reach shelves as quickly and efficiently as possible. Rather than sending products back to the manufacturer for packaging or labelling correction, we handle all these critical tasks for you. This eliminates the need to involve your team or send goods elsewhere, saving you time and reducing unnecessary transport and labour costs.

Partnering with a logistics provider that offers these services can be a game-changer.  In addition to ensuring compliance and quality, value-added services like rework strengthen relationships with customers and retailers by delivering products as they should be: properly packaged, correctly labelled, and in pristine condition.

At VLT Logistics, we believe that logistics is far more than just moving goods from A to B; it’s about adding value at every step of the journey. Our rework services are just one of the ways that we drive efficiency, reduce risks, and ultimately contribute to a smoother, more reliable supply chain.

We’re excited to share that we have recently achieved ISO 9001, ISO 14001, and ISO 45001 certifications. These internally recognised standards demonstrate our commitment to quality, environmental responsibility, and occupational health and safety.

Reaching this milestone was a collective effort involving every team member – from office administrators to finance, warehouse teams, drivers, and senior management. We’re incredibly grateful to our amazing team for their hard work, and we can’t wait to see what the future holds as VLT continues to evolve.

ISO 9001: Quality Management

To achieve our ISO 9001 accreditation and implement a more robust Quality Management System (QMS), we reviewed our existing processes, gathering feedback from clients and employees and identifying areas for improvement. By strengthening our QMS and ensuring compliance with ISO 9001, we’re optimising our internal operations and helping our clients to maximise their supply chain efficiency.

ISO 14001: Environmental Management

ISO 14001 focuses on environmental management systems, promoting the efficient use of resources and the reduction of waste. As part of our ongoing commitment to sustainability, we’ve switched to green energy suppliers and are exploring alternative fuel vehicles to complement our existing fleet. ISO 14001 enables us to report on our carbon footprint and track every aspect of our operations, providing a unique opportunity to showcase our sustainability efforts to the wider industry and our customers.

ISO 45001: Occupational Health and Safety

ISO 45001 sets the standard for occupational health and safety management systems. It aims to reduce workplace injuries and promote the physical and mental health of employees. At VLT, we prioritise safety both on the road and in the warehouse. We’re constantly seeking ways to improve our safety measures to protect our employees, other road users, and the public.

To support this commitment, we provide comprehensive training and aim to build an open and proactive workplace culture. We encourage our team members to actively share feedback and ensure additional support or training is readily available whenever needed.

Achieving ISO accreditation is a major achievement for VLT Logistics, underscoring our commitment to excellence across all our operations. This process allowed us to fine-tune our procedures, enhance efficiency, and ultimately improve the service we deliver to our customers. Looking ahead, we remain committed to supporting our customers with tailored logistical solutions designed to help them thrive. Thank you for being part of this journey with us.

At VLT Logistics, it’s long been a dream of ours to be able to handle our own vehicle maintenance in-house. In October of this year, that dream became a reality with the launch of our brand-new Vehicle Maintenance Unit (VMU). Although it’s only been a short few months since its completion, our VMU unit has already completely revolutionised our approach to fleet maintenance.

Equipped with fantastic new equipment, cutting-edge diagnostic tools, and a fantastic team of mechanics at the helm, we can now ensure every vehicle is inspected, tested, and serviced according to our maintenance schedule – without relying on third-party services. In a nutshell, this means less downtime, more control, and the ability to offer an even better distribution service to our customers.

The Development of our Vehicle Maintenance Unit

The development of our new Vehicle Maintenance Unit (VMU) was a complex 14-month project. It began with extensive planning, site surveys, ground testing, and securing the necessary design approvals. We then brought in specialist contractors to carry out the civil works, which included excavating the pit area, constructing a new manhole, and installing a 14-meter steel pit structure, levelled to within 1mm accuracy before the first concrete pour.

After an 8-week drying and curing period, we commissioned the brake tester, secured the pit, and installed all the new equipment, ensuring everything met our exacting standards. The planning and execution that this project demanded highlight just how important having this VMU on-site was for us as a company.

Everyone involved would agree that it’s immensely rewarding to see their hard work finally come to fruition. And the fact that we’re already seeing its positive impact on our fleet operations is the icing on the cake. It’s a fantastic way to close out 2024 and step into 2025 as the new and improved VLT Logistics!

What are the advantages of VLT Logistic’s VMU?

Our new VMU offers significant advantages for both our company and our customers, including:

Efficiency

Managing repairs and maintenance in-house minimises downtime, reduces reliance on third parties, and significantly improves our overall operational efficiency. This allows us to provide an even more seamless service to our customers.

Safety

Regular brake testing and inspections enhance overall safety for our drivers and other road users. Our mechanics are very familiar with our vehicles and can quickly identify and resolve any safety issues before they escalate right here from our site in Leeds.

Proactive Compliance

From April 2025, all safety inspections for commercial vehicles will require a weight-laden brake assessment using either EBPMS or laden roller brake tests. Our VMU unit allows us to anticipate these legislative changes and ensure we remain compliant with evolving industry standards.

Cost Savings

By gaining complete control over our own fleet’s maintenance schedules and repairs and through the support of skilled on-site mechanics and engineers, we can reduce costs and pass those savings on to our customers, making our services even more affordable.

Training

This recent investment has enabled VLT to launch an apprenticeship program for budding mechanics. The program involves one day per week of theoretical learning at college, with the rest of the week dedicated to hands-on experience under the guidance of qualified mechanics.

Through this initiative, our new apprentice is gaining valuable skills in a trade he is passionate about pursuing. At the same time, VLT is future-proofing its expertise within the Vehicle Maintenance Unit (VMU), ensuring continued growth through ongoing training and practical experience in this environment.

Extended Services

Our advanced pneumatic pit and pit jacks enable detailed inspections of trailers and motive units, along with full brake relining services and brake testing. All of this is conducted on-site in a clean, controlled, and safe environment, ensuring the highest standards of maintenance and safety for our fleet.

Looking Ahead

Since the launch of our new Vehicle Maintenance Unit (VMU), the team has quickly adapted to the new equipment and processes, with our experienced mechanics, Gary and Martin, and our apprentice, Tyler, playing key roles in this transition. They now efficiently manage every aspect of fleet maintenance, from parts replacements to MOTs and safety checks—all from our operational hub in Leeds.

With this recent investment, we’ve gained far more than just a shiny new garage. It has given us full control over our own fleet, helping to future-proof VLT Logistics and keep our vehicles in tip-top shape, journey after journey.

As we step into 2025, we do so stronger, more efficient, and more reliable, fully prepared to meet the challenges and opportunities that lie ahead.

If you’re looking for a distribution service to help your business thrive this year, get in touch; we’d love to work with you!

For UK third-party logistics (3PL) companies, mastering supply chain visibility can make all the difference in optimising processes, enhancing customer satisfaction, and staying competitive in a rapidly changing marketplace, and as experienced logistics management experts, VLT Logistics know all about it.

What is supply chain visibility?

Supply chain visibility refers to the capability of companies to view and track the progress of items at every stage of the delivery process. It involves gathering data from various sources, including suppliers, manufacturers, distributors, and carriers, and using advanced technologies like IoT sensors, RFID tags, cloud-based platforms and satellite tracking to determine the precise location of materials and products.

Advanced systems can allow such a high level of visibility that you can watch the progress of delivery lorries as they move along the supply chain.

The benefits of supply chain visibility

1. Improved inventory management

With real-time visibility into inventory levels and locations, companies can better manage stock levels, reduce excess inventory, and prevent stockouts. This leads to lower holding costs and improved order fulfilment rates.

2. Efficient risk management

By anticipating potential disruptions, such as weather events, supplier delays, or transportation issues, companies can implement contingency plans and alternative routes to minimise the impact on operations.

This creates resilience and contributes to future planning and the reduction of financial loss.

3. Data driven decisions

With access to comprehensive supply chain data and analytics tools, companies can make informed decisions based on real-time insights rather than guesswork or intuition. This can likewise provide a competitive advantage over competitors.

With effective management of data, 3PL companies will only provide clients with the exact data required to inform decisions, allowing you to make reasonable adjustments without becoming overwhelmed by the data.

The data gained from real-time visibility can improve the following areas of business operations:

  • Inventory management strategies
  • Addressing the inefficiencies along the supply chain
  • Disruption to production and manufacturing
  • Keeping customers informed of inconsistencies

4. Reduces reputational risks

The transparency and clarity that supply chain visibility affords gives businesses the ability to respond promptly to changes, and inform consumers of any delays before it impacts your reputation.

End to end visibility

Supply chain visibility is now a baseline requirement for any logistics company, regardless of whether they are in-house or outsourced. Every delivery company, whether they are a B2C e-commerce courier or distributing resources from overseas, will be familiar with the broad range of tracking options available.

The most beneficial way to implement supply chain visibility strategies is to remain transparent and honest across customer communications and business operations, as well as ensure that visibility is end-to-end.

At VLT Logistics, our commitment to end-to-end visibility allows us to continually enhance the following on your behalf:

  • Predict and avoid disruptions
  • Increase the speed of operations and delivery
  • Improve customer satisfaction by meeting expectations
  • Create a more agile and flexible chain
  • Use data to drive results leading to greater supply chain success

Why visibility is key

Supply chain visibility allows planning and predictability that is crucial to the operation of businesses.

It enables companies to gain insights into the movement of goods, identify potential disruptions to operations, and make informed decisions to mitigate risks and optimise resources where delays occur.

By implementing supply chain visibility strategies such as real time data warehousing and real time pod capture, we at VLT Logistics can ensure that your goods are protected and visible to you at every stage of the supply chain.

What is Just-in-Time inventory management?

Just-in-Time (JIT) is a method of inventory management that entails only producing and storing as much stock as is needed. It is designed to reduce costs and waste whilst enhancing growth potential and ensuring customers receive the highest quality goods.

To implement JIT effectively, a meticulous understanding of demand forecasting is required. By having a clear picture of consumer demand for your products, you can continue to meet their requirements whilst continuing to optimise the efficiency of available warehouse space.

VLT Logistics implement these strategies to meet the needs of our clients.

Where did Just-in-Time originate?

JIT is known to have been perfected by Taiichi Ohno in the Toyota manufacturing plants. The company, facing shortages in supply, was forced to survive by minimising consumption of resources that added no value to the product.

It has since grown into the inventory management strategy that many companies apply to their operations today.

Benefits of Just-in-Time inventory management

1. Reduction of excess stock

Implementing JIT reduces excess stock which contributes to more sustainable practices, reduces waste within your business and opens up more opportunities with available space in warehouses and across the production line.

This can also lead to an increase in productivity within your workforce, as well as reduce losses caused by faulty products.

2. Focus on quality over quantity of goods

With JIT, focus can be narrowed to the generation of products that meet customer expectations, with quality at the heart of the business.

Mass production is conducive to a greater number of defective products leading to dissatisfied customers, and a higher risk to overall business costs.

3. Agility and flexibility

Ordering and manufacturing fewer goods allows greater flexibility with your inventory. You will be able to adapt to consumer demand faster than your competition.

4. Improved relationships

The efficiency that this strategy can create opens up relationships between suppliers and consumers through mutual trust and product quality.

Challenges of JIT
Challenges of JIT

Comparatively, JIT also comes with challenges, like any inventory strategy.

1. Greater costs across the supply chain

Ordering small quantities of stock frequently is more expensive than buying in bulk occasionally, which can eat into profit margins.

2. Disruptions in the supply chain

Due to the logistics involved with ordering to meet demand, any delay in the supply chain, from natural disasters and delivery of raw materials to understaffing in production can cause a chain reaction of disruption along the supply chain.

This will impact customer satisfaction and increase costs.

3. Reliance on forecasting

Reliance on forecasting to determine demand for your products can amplify the risk of running out of inventory if there is a sudden surge of demand.

4. Greater training costs

JIT strategies and technology, whilst recognised as legitimate strategies, are relatively modern and therefore require training for your staff. This can hinder your ability to find staff trained to implement the appropriate processes, and increase training costs across the company.

Examples of where JIT thrives

JIT can be applied to a broad range of industries but there are some that stand out as leaders in optimising the methodology for their needs:

Car manufacturers:

Car manufacturers have honed the skill of JIT by only producing cars upon order. As an industry that relies upon expensive raw materials and parts that are manufactured abroad, implementing JIT reduces costs and also allows customisation of vehicles for more luxury brands.

Home renovation companies:

Companies that produce bespoke home renovation products depend on JIT strategies to meet customer demand. This includes doors, windows, carpets and some furniture brands.

Fast food chains:

In order to deliver food that is fresh every day, fast food chains must implement stringent JIT inventory management strategies with clear, concise and accurate demand forecasting data.

Managing your inventory to meet consumer demand begins with the peace of mind that secure warehouse space delivers and VLT Logistics ensures your goods are taken care of. Our warehouse storage and warehouse to rent facilities are manned by highly experienced warehouse teams, backed by JIT inventory management strategies, 24 hour security and real-time data warehousing software, so your time can be spent improving business operations.

If you’re interested in outsourcing your logistics to a fully trained team who put your access and understanding first, get in touch today to discuss your requirements.

The capabilities of warehouse automation are not to be underestimated. As the driving force behind modern warehousing, automated systems are a vital component in creating a functioning warehouse with efficiency, accuracy and scalability at its core.

However, as automation continues to revolutionise the industry, finding the perfect balance between technology and the human workforce is essential for maintaining a competitive edge. With over 25 years of delivering innovative warehousing solutions to our clients, VLT Logistics continues to search for new ways to optimise the collaboration between our workforce and automated systems.

What is an automated warehouse?

An automated warehouse is a warehouse where every aspect of operations is conducted through the application of automated systems. This includes:

  • Storage
  • Sorting
  • Picking and packing
  • Receiving and dispatching

These systems create efficiency across operations.

Benefits of automated warehouse

1. Greater efficiency in operations

Automated systems in warehouses are designed to handle products with precision and speed, minimising damage and maximising throughput.

By employing advanced technologies, warehouses can optimise product handling, ensuring items are transported swiftly and safely within the facility.

2. Accurate evaluation of data

Automated warehouses generate vast amounts of data regarding inventory levels, order processing times, and overall operational performance. By leveraging sophisticated analytics tools, businesses can gain valuable insights into their warehouse operations, enabling data driven decision making.

3. Movement tracking

With real-time tracking capabilities, automated warehouses provide visibility into the movement of goods throughout the facility, allowing businesses to monitor stock levels, locate items quickly and prevent stock miscalculations.

This is through the application of technological advancements including:

  • RFID tags
  • Sensors
  • Barcode scanners

4. Reduced operational costs

While the initial investment in automation may seem significant, automated warehouses offer long-term cost savings through improved operational efficiency and reduced labour costs.

Warehouse automation improves the overall return on investment (ROI) by:

  • Reducing intensive manual labour and the associated costs
  • Achieving faster performance
  • Optimising the handling of products and reducing human error

5. Scalability

One of the most advantageous benefits of automated warehouses is the ability to adapt swiftly to changes in production demand.

Whether it’s adding additional storage capacity or integrating new technologies, automated warehouses provide the flexibility needed to scale operations without hassle.

6. Fewer human errors

When you have a human workforce, errors are bound to occur, however, with the implementation of the right automated systems, the number of errors can be reduced. Human mistakes come at the expense of time and money, which can be rectified with technology.

Equipping a human workforce with systems that speed up repetitive processes removes the margin for error. For example, RFID scanners can count boxes into a warehouse within minutes, without scanning twice. It would take an employee far longer to perform the same task without the aid of automation.

7. Eliminating safety risks

Warehouses that employ automated systems can reduce safety risks associated with stock management tasks.

For example, in warehouses with high racks, introducing automated guided vehicles (AGVs) to retrieve stock can remove the requirement for ladder use in day-to-day operations, therefore protecting employees from incurring injuries.

Benefits of a human workforce

Warehouse automation yields a vast array of benefits but the importance of the human workforce is just as vital.

1. Flexibility

One of the most significant advantages of a human workforce is its flexibility in handling diverse tasks and unforeseen challenges. Human workers can swiftly adjust to changes in demand, operational requirements, or unexpected situations where automated systems lack the capability.

2. Collaboration and morale

A cohesive workforce is essential for the success of any warehouse logistics operation. Human workers thrive in collaborative environments, where they can share knowledge, support each other, and contribute to a positive work culture.

A motivated workforce boosts productivity across operations.

3. Complex decision making

In complex logistics scenarios, human workers excel in making critical decisions that require intuition, judgement, and a deep understanding of operational nuances.

This can include:

  • Optimising inventory placement
  • Resolving discrepancies
  • Addressing customer concerns

Human expertise adds an invaluable layer of insight.

4. Personalised customer service

Whilst automated customer service systems speed up response times and improve customer satisfaction, many customers benefit more from a personalised service.

The standard responses given by automated bots apply standard responses whereas human employees can tackle complex issues such as addressing inquiries, resolving issues, and building strong relationships with clients.

5. Innovation

Human creativity is invaluable, even in a warehouse environment where it might seem replaceable.

Human workers actively contribute ideas for enhancing efficiency, implementing new technologies, and refining existing processes. Their ability to think critically and adapt to evolving trends ensures that warehouse operations remain agile and competitive.

6. Quality control and attention to detail

While automated systems excel in repetitive tasks, human workers bring a keen eye for detail and quality control. They can identify anomalies, inspect goods for damage or defects, and ensure that products meet quality standards before they are dispatched to customers.

This attention to detail helps uphold the reputation of the warehouse logistics.

Striking a balance between automation and human workforce

Automated processes and human activity each hold benefits that are invaluable to a warehouse. When implemented together, warehouses can strike the perfect balance between innovation and efficiency.

In the twenty-first century, it is impossible for a warehouse to function with only automated systems. Likewise, companies will struggle to make profit if they rely solely on a human workforce to operate their warehouse.

To ensure they work together, logistics companies should:

  1. Invest in training: Comprehensive training programmes familiarise the workforce with new technologies and software systems, improving efficiency.
  2. Encourage collaboration: Collaboration between technology specialists and warehouse staff allows them to combine their strengths, and work more effectively to solve problems and optimise processes.
  3. Provide clear roles: Clearly defining the roles and responsibilities of both technology systems and human workers minimises overlap and confusion. Establishing clear boundaries and expectations ensures smooth coordination between technology and your workforce.
  4. Encourage feedback: Encouraging feedback empowers warehouse staff to identify areas for improvement across operations.
  5. Prioritise employee wellbeing: The importance of implementing automated systems that enhance rather than replace human work is crucial to maintaining a workforce that feels valued, as well as a system that benefits from both parties.
  6. Understand where technology fits and where employees thrive: Recognising where human minds are most valuable and where technology fits within this will enhance the efficiency of any warehouse.

VLT Logistics offer comprehensive warehousing solutions to a vast number of businesses that are based on the principle of exceptional collaboration between our employees and the latest in warehouse automation. Our systems are fuelled by advanced technology to ensure our operations remain efficient and deliver cost-effective, timely, consumer driven results for your industry.

The long-term growth of e-commerce businesses hinges not only on the quality of your products and the appeal of your website but also on the efficiency of warehousing and logistics operations. Behind every successful online store lies a robust system for order fulfilment, packaging, and returns management.

As leaders in warehousing solutions, VLT Logistics are well versed in the critical role that warehousing plays in the success of e-commerce operations, and the strategies that you implement are essential to long-term security.

1. Order fulfilment

Order fulfilment encompasses the entire process from the moment a customer places an order to the moment it reaches their doorstep. Timely and accurate order fulfilment is essential for customer satisfaction and retention.

Inventory management

Efficient inventory management can make or break e-commerce success.

A well organised warehouse with clear labelling and tracking systems ensures that products are readily available for picking, packing, and shipping. Unorganised inventory management can easily lead to missing stock, customer disappointment and confusion amongst employees.

Implementing the following strategies and technologies can elevate warehousing processes:

Real-time data warehousing

As the name suggests, real-time data warehousing allows warehouse data to be processed in real-time. Unlike the traditional stock rooms that rely on employee time and availability, real-time data warehousing provides the equivalent of a workforce that analyses and reports on data at all times of the day.

Inventory data can be captured on demand, and makes determining growth strategies far simpler.

RF stock management

RFID technology uses radio waves to transmit data wirelessly, allowing for real-time tracking of inventory items. For e-commerce businesses, where accurate stock inventory is pivotal to the functioning of the business, RF stock management systems offer seamlessness, and free up employee time.

Demand forecasting

Demand forecasting refers to the process of utilising historical data to strategically estimate future buying habits.

Implementing forecast demand strategies gives businesses grants predictability within the order and storage of stock. Companies will be able to align their inventory with anticipated sales, creating efficient use of space, and saving costs.

There are 6 main demand forecasting strategies:

  • Macro-level demand forecasting
  • Micro-level demand forecasting
  • Long-term demand forecasting
  • Short-term demand forecasting
  • Passive demand forecasting
  • Active demand forecasting

Multi-location warehousing

Multi warehouse management is defined as the shipping and fulfilment of products from multiple locations. From a logistics point of view, there are many benefits to incorporating multi-location warehousing including speed of product distribution, larger growth potential and being situated closer to numerous customer bases.

When e-commerce businesses have multiple warehouses, it is vital to ensure the application of an overarching inventory system such as real-time data warehousing, to improve communication and country-wide operations.

2. Packaging

Packaging provides an opportunity to leave a lasting impression on customers, and your warehouse is the last point of contact your business will have with it. Thoughtful and visually appealing packaging can improve brand image, but the condition in which products arrive at their final destination depends on the efficiency of the warehouse.

From ensuring packaging inventory is up to date, to ensuring workers are sufficiently trained in pick and pack, there are plenty of things to consider for e-commerce success.

Consistency of packing

Consistency is key when it comes to packing products for shipment. Each package should reflect the same level of care and attention to detail, regardless of the contents. Establishing standardised packing procedures ensures that every order is packed correctly, reducing the risk of errors and discrepancies.

From the placement of protective fillers to the sealing of boxes, every step should adhere to predetermined guidelines to maintain consistency and uphold quality standards.

Optimised processes

Optimising packaging processes ensures orders are dispatched promptly and accurately.

Picking and packing can be made more efficient through:

  • Implementation of automated packaging systems
  • Placing top selling items close to packing stations
  • Adapting to RF stock management to bring ease to locating stock
  • Standardisation of packing practises and habits

Inventory management

Effective inventory management extends beyond the products themselves to include essential packaging materials. Ensuring that packaging inventory is adequately stocked and replenished prevents delays in the packing process and ensures that orders can be fulfilled without interruption.

Sustainable packaging

Sustainable packaging has become a priority for many e-commerce businesses. By opting for eco-friendly materials and packaging solutions, you not only reduce your environmental footprint but also align your brand with values that resonate with an increasingly eco-conscious consumer base.

From recycled cardboard boxes to biodegradable packing peanuts, there are plenty of sustainable alternatives available that allow you to minimise waste without compromising on product protection.

Third party warehousing

3. Returns management

While returns are an inevitable part of e-commerce, how they are handled can make a significant difference in customer satisfaction and loyalty.

Transparent returns policy

A transparent and customer-friendly returns policy sets clear expectations and reduces friction for customers returning products. Clearly communicate your policy on your website and include instructions and return labels with every order.

This not only makes returns simpler for customers, but smoothes over cracks in the processing of returns as they arrive at the warehouse. Staff will be able to scan a barcode to add the products back to the inventory, and then return them to their shelf without any wasted time.

Inspection and restocking

Upon receiving returned items, a thorough inspection should be conducted to determine their condition and eligibility for resale.

Develop protocols for restocking returned merchandise promptly, ensuring that it is reintegrated into inventory in a timely manner.

Data analysis

Analyse return data to identify trends, patterns, and opportunities for improvement. Are certain products experiencing higher return rates? Is there a common reason for returns? Use this information to refine product descriptions, enhance quality control processes, and address any underlying issues.

Effective inventory management is crucial for businesses of all sizes to maintain smooth operations, optimise costs, and meet customer demands. Whether you’re a small retailer or a large manufacturing company, implementing the right strategies can have a significant impact on the longevity and growth of your enterprise. As leading warehouse suppliers, VLT Logistics understands the complexities of establishing efficient inventory management tactics, which is why we’ve outlined 5 practical tips to safeguard the internal operations of your business.

1. Track your Inventory

Warehouse functionality is dependent on effective inventory tracking. When errors occur in inventory tracking, customer satisfaction, potential for company growth and financial management are all impacted.

Fast-moving items may require more frequent restocking, while slower-moving items might benefit from strategic marketing efforts or reevaluation of their place in your product catalogue.

To effectively track your inventory, the following should be considered:

Reorder points:

Reorder points establish the minimum volume of individual products that should be stored in the warehouse. This allows stronger communication between the warehouse and distribution teams, and ensures the warehouse is always stocked with enough of each product to send to customers. When your stock reaches the reorder point, you will be notified that more stock is required.

This number will fluctuate throughout the year and as the company grows so continued evaluation is essential.

Align your stock levels with your ordering system:

By updating your online platforms with the correct levels of stock, you ensure that your systems are aligned, and the website will update as soon as merchandise is no longer available, reducing the potential for disappointed customers.

Regular stock level audits:

Software systems are growing evermore intelligent, making it easier to monitor your inventory. However, physical inventory lists and regular audits are recommended to ensure your system is correct.

By comparing your physical inventory to your online inventory, you’ll be able to swiftly identify and respond to complications or errors in your inventory count, as well as continue operations should the system malfunction.

Third-party logistics companies will be able to implement this on your behalf.

Real-time data warehousing:

Real-time data warehousing provides up-to-date information from a centralised system, removing human error from the warehousing process across various jobs including:

  • Pick and pack
  • Kitting
  • Labelling
  • Preassembly

2. Implement the 80/20 Inventory Management Rule

The 80/20 rule, also known as the Pareto Principle, posits that approximately 80% of effects come from 20% of causes. This principle implies that a significant portion of sales from your inventory are derived from a small percentage of your products.

To implement the most effective inventory management strategy possible, identify the highest performing items and concentrate your efforts on optimising their management.

This could involve strategic placement within your warehouse for easier access, negotiation of favourable terms with suppliers, or the implementation of targeted marketing campaigns. By directing your attention and resources toward the most impactful products, you can maximise efficiency, reduce carrying costs, and enhance overall profitability.

3. Forecast Demand Strategies

Demand forecasting refers to the strategic use of historical data to estimate future buying habits of customers. It analyses potential demand based on a broad range of factors including market trends, seasonality and internal data.

Implementing forecast demand strategies allows you to align your inventory levels with anticipated sales, creating efficient use of space and saving costs.

Demand forecasting techniques leverage analytics over a set period of time, but the following techniques are advised for effective inventory management:

Macro-level demand forecasting:

Macro-level demand forecasting is predicated on the general overview of external market conditions to inform your internal strategy. It consists of factors such as:

  • Economic conditions
  • Consumer trends
  • Competition

This helps to understand financial challenges, material shortages and the potential for expansion.

Micro-level demand forecasting:

Micro-level demand forecasting likewise considers external factors that could impact your inventory management, but it focuses on specific industries, companies or customer segments.

This strategy is vital in determining the demand for your product, thus informing ideal inventory levels.

Long-term demand forecasting:

Long-term demand forecasting is more appropriately applied to the identification of seasonal strategies, annual fluctuation in market demand and production capacity. This form of data is collected over a period longer than a year, and provides a long-term projection of the brand’s future.

With regards to inventory, this can aid in the prediction of production volume, product type and the scope of warehouse and supply chain range required.

Short-term demand forecasting:

Short-term demand forecasting is conducted over a short period of time and informs day-to-day inventory control measures. This strategy is applicable to promotional planning, as well as delivering an overview of staff capacity.

Passive demand forecasting:

One of the most simple forecasting techniques, passive demand forecasting refers to using internal sales data to predict future sales data.

This makes it useful for companies who have historical data to extract from, and applies to businesses who aim for steady year-on-year sales rather than ongoing growth.

Active demand forecasting:

Active demand forecasting is a technique best used by start-ups and businesses experiencing rapid growth.

Inventory Management

4. Use a holistic approach

Effective inventory management takes into consideration more than the simple day-to-day movement of stock.

Tracking the capacity of your operations as a whole is just as important as counting how much stock comes in and out of the warehouse. You need to consider your assets, equipment, in-house personnel, and security measures.

Do you have the capacity for new stock? Is your workforce satisfied and working to an efficient, capable standard? Is your loading dock stocked with the correct machinery to ensure no stock is damaged or lost upon exit or arrival?

Consider every point of contact your stock has along the supply chain and throughout your warehouse and find ways to fine-tune it.

5. Regularly audit and optimise

Effective inventory management is not a one-time task but an ongoing process that demands regular evaluation and optimization. Conducting regular audits allows businesses to identify discrepancies, obsolete stock, and inefficiencies in their processes.

These audits provide valuable data that can be used to make informed decisions about refining inventory management strategies.

Analyse the insights gathered from audits to adjust reorder points, renegotiate contracts with suppliers, and optimise warehouse layouts for better accessibility. By staying proactive and adaptive, businesses can fine-tune their inventory management practices to align with changing market dynamics and maintain a competitive edge.
